Job Title: Order Processing Clerk

Location: Nairobi.

Industry: Oil and Gas 

Our Client is seeking to recruit an experienced Order Processing Clerk to support daily dispatch operations through accurate order entry, document verificationv & upload, and issue resolution. The ideal candidate must have prior experience in the petroleum industry, with strong knowledge of petroleum truck dispatch documentation and hands-on experience using SAP. The role requires a detail-oriented individual capable of ensuring accuracy in system uploads and coordinating operational documentation.

Job Description

Roles and Responsibilities

  • Accurately enter and process customer orders within the system.

  • Verify and upload dispatch and operational documents while ensuring completeness and accuracy.

  • Coordinate and monitor petroleum truck dispatch documentation in line with operational requirements.

  • Ensure all mandatory dispatch documents are available and correctly processed before truck release.

  • Resolve system, documentation, and dispatch-related issues promptly to avoid operational delays.

  • Liaise with transporters, operations teams, and relevant departments to ensure smooth dispatch processes.

  • Maintain proper records and filing of dispatch and operational documents.

  • Monitor order status and provide timely updates to relevant stakeholders.

  • Ensure compliance with company procedures, industry standards, and petroleum dispatch regulations.

  • Support continuous improvement initiatives aimed at enhancing dispatch accuracy and operational efficiency.

Requirements

Job Requirements

  • Diploma or Degree in Logistics, Supply Chain Management, Business Administration, or a related field.

  • Proven experience in the petroleum industry in a similar dispatch, logistics, or documentation role is mandatory.

  • Must have hands-on experience handling dispatch documentation for petroleum trucks.

  • Proficiency in SAP is mandatory, with practical experience in order processing and dispatch coordination.

  • Strong understanding of petroleum loading and dispatch procedures.

  • High level of accuracy and attention to detail in document processing and data entry.

  • Strong problem-solving and coordination skills.

  • Ability to work under pressure and manage multiple operational tasks effectively.

  • Good communication and interpersonal skills.

  • Proficiency in Microsoft Office applications, particularly Excel and Outlook.
