Position Scope

Position Title: Human Resource Assistant (Consultancy)

Location: Kampala, Uganda. 

Reporting to: Immediate Supervisor Head of Recruitment /Managing Partner

Employment Type: Full-time

Job Summary:

The Human Resource Assistant (HRA) will support the day-to-day HR operations for assigned accounts, focusing on recruitment, and administrative duties.

Job Description

Key Responsibilities:

  • Recruitment:
    • Lead the full cycle of recruitment for assigned positions, from initial job requisition to onboarding by posting job openings, reviewing applications, and coordinating interviews.  
    • Provide timely feedback to candidates throughout the recruitment process. 
    • Generate weekly recruitment performance reports, outlining key metrics and updates on open positions.  
    • Contribute to client acquisition strategies while also fostering relationships with existing clients for retention.  
    • Continuously seek ways to improve the client and candidate experience to build brand loyalty.  
    • Draft and develop competitive quotes and proposals tailored to client needs.
  • HR consulting:
    • Serve as the primary point of contact for employee inquiries.
    • Participate in negotiations related to employment terms, and staff benefits, and prepare and issue letters of appointment to new hires. 
    • Periodically review and update the staff orientation materials and program.
    • Address staff welfare concerns, manage employee issues, and support the performance management process to enhance productivity.  
    • Maintain proper records for disciplinaries.  
    • Contribute to employee engagement initiatives, including team-building activities, recognition programs, etc.
    • Monitor the implementation of HR plans and programs.
    • Handle and resolve all payroll queries.  
    • Support the performance appraisal process by guiding managers and employees in setting objectives, documenting progress, and providing constructive feedback.  
    • Maintain accurate and up-to-date employee records, including contracts, attendance, leave balances, and performance evaluations.  
    • Collaborate with the management team to ensure a safe, compliant and healthy work environment.
  • HR Reporting:
    • Prepare regular HR reports that provide key insights into recruitment activities.
    • Prepare and submit HR analytics and reports of assigned accounts to support management decision-making.
    • Analyze data to offer recommendations and support management decision-making.  
  • Performs any other responsibilities as may be assigned from time to time.

Requirements

Job Requirements

  • Qualifications:
    • Education: Diploma or degree in Human Resource Management, Business Administration, or a related field.
    • Experience: At least 2 years of experience in an HR role, preferably in HR Consulting.
  • Skills:
    • Strong understanding of Ugandan labor laws and HR best practices.
    • Excellent communication and interpersonal skills.
      Proficiency in MS Office (Word, Excel, PowerPoint).
    • Strong organizational skills and attention to detail.
    • Ability to handle confidential information with discretion.
  • Key Competencies:
