Position Scope

Job Title: Customs Declaration & Freight Forwarding Officer

Department: Logistics/Clearing & Forwarding

Reports To: Logistics/Head of Operations

 

Job Summary

The Customs Declaration & Freight Forwarding Officer is responsible for accurate preparation and lodgment of customs declarations for imports, exports, and ex-warehousing processes. The role ensures full compliance with customs regulations and statutory requirements to prevent penalties and expedite cargo clearance.

Job Description

Duties and Responsibilities

 

  1. Customs Documentation & Declarations

    • Accurately prepare and lodge customs entries for Import, Export, and Ex-warehousing using ICMS.
    • Prepare and submit Import Declaration Forms (IDFs) via the ICMS system.
    • Classify products using correct HS codes and ensure proper valuation to avoid customs penalties.
    • Perform accurate creation and submission of KEBs and Customs Declarations (CDs).
  2. Permit Applications & Regulatory Compliance

    • Submit and follow up on Import/Export permits through the TFP system.
    • Apply for necessary permits from Other Government Agencies (OGAs) as required.
    • Ensure all required documents are verified before any customs declaration is lodged.
  3. System & Process Management

    • Manage and monitor timely KenTrade payments of UCRs.
    • Ensure timely payment and submission of ACA permits.
  4. Stakeholder Coordination

    • Visit Container Freight Stations (CFS), Container Terminals, and Government Agencies to follow up on clearance matters.
    • Liaise with port authorities, customs officers, and third-party service providers to resolve clearance issues.
  5. Other Duties

    • Undertake any other duties reasonably assigned by management or the line manager from time to time.

Requirements

Qualifications & Skills

 

  • Certification in Customs and Freight Forwarding (KESRA Certification is required).
  • Proficient in using ICMS and relevant customs systems (KenTrade, TFP systems).
  • Strong knowledge of HS code classification, import/export procedures, and customs valuation rules.
  • Attention to detail and accuracy in documentation.
  • Strong organizational and communication skills.
  • Ability to work under pressure and meet tight deadlines.
