Position Scope

Position Title: HR Assistant

Reports to: HR Manager / HR Officer

Industry: Fast-Moving Consumer Goods (FMCG)

Job Purpose


The HR Assistant will provide administrative and operational support to the Human Resources department, ensuring efficient delivery of HR services across recruitment, employee relations, training, and HR data management. The role requires attention to detail, confidentiality, and the ability to thrive in a fast-paced FMCG environment.

Job Description

Key Responsibilities

1. Recruitment & Onboarding

  • Assist in posting job advertisements, screening CVs, and scheduling interviews.
  • Support onboarding of new employees, including preparation of contracts, orientation, and induction programs.
  • Maintain accurate records of staff recruitment and selection processes.

2. HR Administration & Records Management

  • Maintain employee personnel files, HRIS, and attendance records.
  • Prepare and update staff lists, leave records, and other HR databases.
  • Support payroll preparation by providing accurate employee data (leave, overtime, deductions).

3. Employee Relations

  • Act as the first point of contact for HR-related queries from staff.
  • Support the implementation of HR policies and procedures.
  • Assist in handling employee welfare initiatives, grievance management, and disciplinary processes.

4. Training & Development

  • Assist in identifying training needs and maintaining training records.
  • Provide logistical support during internal and external training programs.
  • Track employee performance appraisal submissions and maintain appraisal records.

5. Compliance & Reporting

 

  • Ensure compliance with labor laws, health & safety, and company HR policies.
  • Prepare regular HR reports (turnover, absenteeism, recruitment status, etc.) for management review.
  • Support audits by ensuring HR documentation and processes are up to date.

Requirements

Qualifications & Experience

 

  • Bachelor’s degree in Human Resource Management, Business Administration, or related field.
  • CHRP certification (added advantage).
  • Minimum 1–3 years of HR experience, preferably in the FMCG sector.
  • Familiarity with Kenyan labor laws and HR best practices.
  • Experience with HRIS/HR software is an added advantage.
