Position Scope

Position: Office Assistant
Reports to: Administrative Officer / Office Manager
Client: Oil logistics company
Salary: KES 25,000.

Job Purpose:

To provide general administrative and clerical support to ensure smooth and efficient office operations. The Office Assistant is responsible for handling routine office tasks such as document handling, filing, errands, and supporting staff with day-to-day needs.

Job Description

Key Responsibilities:

  • General Office Support:
    • Assist with photocopying, scanning, filing, and organizing documents.
    • Distribute internal memos, letters, and packages to relevant departments.
    • Ensure meeting rooms are clean and set up with necessary materials.
  • Errands & Deliveries:
    • Run official errands such as delivering documents to clients, suppliers, or banks.
    • Assist in picking up office supplies, parcels, or other items as directed.
  • Office Maintenance & Cleanliness:
    • Ensure common areas, kitchen, and workstations are clean and tidy.
    • Replenish office supplies (e.g., stationery, tea items, toiletries) as needed.
    • Report any maintenance needs or repairs promptly.
  • Support to Administrative Functions:
    • Help with document filing, record keeping, and general clerical duties.
    • Support staff during office events, meetings, or visitor coordination.
    • Provide ad-hoc support to HR, Finance, or Admin teams when required.

Requirements

Qualifications & Experience:

  • KCSE Certificate; additional training in office support, administration, or customer service is an added advantage.
  • 1–2 years’ experience in a similar office support role.
  • Basic computer skills (MS Word, Excel, email) are desirable.
  • Good command of English and Kiswahili, both spoken and written.
