Location: Tanzania - Dare saalam

Job Summary

We a recruiting on behalf of our client a logistics company in Tanzania - Dare saalam  an Operations Executive , you will play a vital role in supporting the day-to-day logistics operations, ensuring that all processes are carried out efficiently and in alignment with the company’s high standards. Your responsibilities will involve a range of activities aimed at optimizing logistics performance and delivering exceptional service to customers.

Job Description

Roles and Responsibilities

 

1. Logistics Coordination:

·         Assist in coordinating logistics activities, including inventory management, transportation, distribution, and onsite installation logistics.

·         Ensure that goods are transported and delivered according to schedule, while maintaining the quality and integrity of the shipments.

2. Inventory Management:

·         Monitor and manage inventory levels, ensuring that stock is maintained at optimal levels and that all inventory movements are accurately recorded.

·         Work closely with the warehouse team to oversee the storage, retrieval, and dispatch of goods.

3. Vendor and Partner Liaison:

·         Communicate with logistics partners and vendors, including those involved in air, ocean, road, and port logistics, to coordinate shipments and resolve any issues.

·         Ensure that all third-party service providers adhere to Sky Plan’s standards of service quality, transparency, and safety.

4. Documentation and Compliance:

·         Prepare and manage all necessary documentation for shipments, including bills of lading, invoices, packing lists, and customs forms.

·         Ensure compliance with all relevant regulations and standards, both local and international, related to logistics operations.

·         Monitor and analyze key performance indicators (KPIs) to track operational performance and identify areas of improvement.

5. Customer Support:

·         Serve as a point of contact for customers regarding logistics inquiries, updates, and issues.

·         Provide timely and accurate information to customers about the status of their shipments and address any concerns or complaints.

6. Process Improvement:

·         Assist in identifying areas for improvement in logistics processes and work on initiatives to enhance operational efficiency.

·         Contribute to the continuous improvement culture by suggesting and implementing new methods or technologies that can improve the logistics chain.

7. Data Management and Reporting:

·         Maintain accurate records of all logistics activities, including tracking shipments, inventory levels, and delivery times.

·         Daily reporting of operations updates, data entry and maintaining up to date records.

·         Prepare regular reports on logistics performance, highlighting key metrics and providing insights for decision-making.

8. Operational Support:

·         Provide administrative and operational support to the logistics team, ensuring that all tasks are completed efficiently and on time.

·         Coordinate with various departments within the company to ensure seamless logistics operations and address any cross-functional issues.

9. Quality Control:

·         Monitor the quality of logistics services provided, ensuring that all operations meet Sky Plan’s high standards.

·         Report any discrepancies or issues in the logistics process and assist in implementing corrective actions.

10. Cost Management:

·         Assist in monitoring logistics costs and identifying opportunities for cost savings.

·         Ensure that all logistics operations are carried out in a cost-effective manner without compromising on service quality.

11. Technology and Systems:

·         Use logistics software and systems to track shipments, manage inventory, and optimize routing and scheduling.

·         Stay updated on the latest tools and technologies in logistics management and assist in their implementation within the company.

12. Risk Management:

·         Assist in identifying potential risks in the logistics process and support the development of strategies to mitigate them.

·         Ensure that contingency plans are in place to handle any disruptions or emergencies in the supply chain.

Requirements

Education:

·         Bachelor’s Degree: A diploma in Logistics, Supply Chain Management, Business Administration, Operations Management, or a related field is often required.

·         Diploma or Certificate (Optional): A diploma or certification in logistics or supply chain management can also be considered for candidates with relevant experience.

 

Experience:  

·         Minimum of 2-4 years of experience in logistics, supply chain, or operations management, with a focus on coordinating logistics activities.

·         Experience in Vendor Management: Prior experience liaising with vendors and logistics partners is advantageous.

 Strong Organizational Skills: Ability to manage multiple tasks, prioritize, and meet deadlines in a fast-paced environment.  Problem-Solving Skills: Ability to identify issues in logistics processes and implement effective solutions.  Communication Skills: Strong verbal and written communication skills, with the ability to coordinate effectively with team members, vendors, and customers.  Technical Proficiency: Familiarity with logistics software, inventory management systems, and Microsoft Office Suite (especially Excel).
